Case and Challenge:

H2D Logistics receives, stores, delivers and installs the goods behind its clients’ projects, and it has to be able to show where each piece has been. Since 2021 it has run that work on a system we built around its floor, with every piece its own record (the story of that build).

By 2023 the system knew where each piece was, from moves keyed in on the web. But a truck wasn’t yet a place a piece could be, and the portal showed only a piece’s current and last location. The opportunity was a record at every hand-off, from rack to truck to install, that H2D could show its clients.

Client: H2D Logistics

Project Type: Barcode scanning, truck checks, client paperwork and a full move history, in H2D’s custom system

What They Needed Us For

H2D needed every hand-off, from rack to install, to leave a record: which piece moved, where, by whom and when, down to the paperwork its clients receive.

Our Approach
  1. We put every move on a scan. In 2023 every piece, carton, rack and truck got a barcode, on 4×6-inch labels we designed. With a scanner app on handheld barcode scanners, someone on the floor scans a piece, or a carton to add everything inside it, then scans the rack or truck it’s going to. The app flags a duplicate scan or the wrong kind of barcode, and records each move against the person logged in.
  2. We made the truck a place. A truck became a location like any rack, so loading became something you scan, and something the system can check. Each truck’s loaded-item list warns before going ahead if a piece isn’t on board, and a project can’t be closed while any of its pieces remain. Pulling pieces for an install still runs on printed sheets, checked off by hand. H2D has asked for it on the scanner.
  3. We put H2D’s paperwork into the system. Damage reports go to the client in H2D’s own template, with photos and a note on whether the piece can be repaired, and the system records when each was sent. Since 2026 the delivery receipt has followed H2D’s own layout. It covers what was delivered, returns, damage and exceptions, an acknowledgement, and signature lines for the client and H2D’s representative. We generate the top half from the record. The bottom half, filled in by hand on site, is H2D’s layout as it is.
  4. We turned the log into a history. Since 2023 the system had logged every move, but no screen showed it. H2D asked to see every step a piece takes through the warehouse, with the time and who scanned it. In May 2026 we delivered that: one row per move, from receiving, the web or the scanner, showing the action, the old and new locations, the person and the time. That summer we also lifted the 100-piece limit on bulk moves and deliveries, which H2D’s larger projects had outgrown.
Results and Accomplishments
  • Moves on scan. Every piece, carton, rack and truck has a barcode, and each scanned move is tied to the person who made it.
  • Loads checked. The system flags pieces that aren’t on the truck, and won’t close a project while pieces remain.
  • H2D’s paperwork, from the record. Damage reports reach the client with photos and a sent date. Delivery receipts follow H2D’s layout.
  • The whole path of every piece. Every move through the warehouse, with who and when, open to H2D’s staff from any piece in the inventory.
Conclusion

Through our partnership with H2D Logistics, the record grew one hand-off at a time. A receiving report came first. From 2023 came scanned moves, truck checks, and damage reports and receipts in H2D’s own layouts. In 2026 every piece gained a full history. The next record is in build. In the release H2D approved in September, which goes live next, an item canceled from a client’s order will keep its record, and the client will get a notice.
